Data from the contact form

If you use the contact form, we process:

• your first and last name
• your email address
• your phone number (optional field)
• the content of your message

We use this data in order to:

• handle your enquiry and reply to it
• prepare an offer and take steps at your request before a possible contract is concluded
• carry out the related correspondence

The legal basis is Article 6(1)(b) GDPR (steps taken at your request prior to entering into a contract) and Article 6(1)(f) GDPR, that is our legitimate interest in maintaining correspondence and answering enquiries.

Providing the data is voluntary, but without an email address we cannot reply to your message. Sending an ordinary enquiry does not require any separate consent to data processing.

Technical data

The server hosting this site records standard technical data for every request:

• IP address
• date and time of the request
• the requested URL
• browser information (user agent)
• HTTP response code

This data is used solely to keep the site running securely and to diagnose errors. The legal basis is Article 6(1)(f) GDPR. We do not combine it with data from the contact form and we do not use it for profiling.

Cookies and similar technologies

The site uses only cookies that are strictly necessary for the features you use:

• NEXT_LOCALE – remembers the site language you selected
• ajk_admin_session – keeps the login session in the administration panel; it concerns only the people who maintain the site and is not set during ordinary browsing

The site does not use cookies or similar technologies for advertising, remarketing, profiling or analytical tracking of users. We do not use tools such as Google Analytics, Google Tag Manager, Meta Pixel or similar. For this reason the site does not display a consent banner for optional cookies – mechanisms strictly necessary to deliver the feature requested by the user may be used without separate consent to the extent permitted by applicable law.

If we ever introduce analytics, advertising or other technologies that require consent, they will not be activated before that consent is obtained and this policy will be updated accordingly.

You can delete or block cookies at any time in your browser settings. Blocking strictly necessary cookies may make some site features harder to use.

Recipients of the data

A message sent through the form is stored in the site database and forwarded to our mailbox. The site and the mail server run on our own VPS located in Poland (OVH), which acts as the infrastructure provider. Your data is not transferred outside the European Economic Area. We do not sell your data and we do not share it for marketing purposes.

Retention period

We keep messages sent through the contact form for 90 days after the enquiry has been handled, and then delete them. If an enquiry leads to cooperation, the data related to it is processed for the duration of the contract and for the period in which any claims may be pursued. Server logs are retained and overwritten according to the server configuration.

Your rights

In connection with the processing of your data you have the right to:

• access your data and receive a copy of it
• rectify (correct) your data
• have your data erased
• restrict the processing
• data portability
• object to processing based on our legitimate interest

If you believe we process your data unlawfully, you may lodge a complaint with the President of the Personal Data Protection Office in Poland (ul. Stawki 2, 00-193 Warsaw).

Data security

The connection to the site is encrypted (HTTPS). Access to the administration panel and to stored messages is limited to authorised people after logging in. We apply technical and organisational measures appropriate to the risks and to the categories of data processed.

Changes to this policy

We may update this policy, for example when the site's features or the law change. The current version is always available at this address and the date of the last update is shown at the top of the page.
